Case Study: Regaining Access to a Meta Business Portfolio

Sometimes digital marketing isn’t just about creating content or running ads. Sometimes it’s about fixing the things that stop a business from operating online.

Recently we worked with a business that had lost full administrative control of their Meta Business Portfolio. While they were still connected to the account, they only had partial access, which meant they couldn’t properly manage the business assets inside the portfolio.

After working through Meta’s verification process and supplying the required documentation, we were able to successfully restore full access.

The Problem

The business was already connected to their Meta Business Portfolio, however their permissions were limited.

With only partial access they could see some of the assets within the portfolio, but they did not have the authority required to properly manage the account.

Without full admin access it becomes difficult to:

• Manage the Facebook Page

• Control advertising accounts

• Manage user permissions

• Connect or manage Meta pixels

• Secure the business account

To make matters more complicated, there were no remaining administrators with full permissions who could grant access.

Why This Happens

This situation is more common than many businesses realise.

Over time companies change staff, agencies or internal roles. Admin access may have been set up years earlier and the original administrator may no longer be connected to the business.

When that happens, the Meta Business Portfolio can effectively become locked, leaving the business with limited control over its own assets.

The Process

Recovering access required going through Meta’s formal review process.

This included:

• Verifying the identity of the business representative

• Providing proof of business ownership

• Confirming the connection to the Business Portfolio

• Submitting a signed declaration requesting admin access

• Verifying the Facebook profile that would become the new administrator

Once the documentation was submitted, Meta reviewed the request before transferring administrative control.

It’s not always a quick process, but it is the correct path when a Business Portfolio no longer has an active administrator.

The Outcome

After completing the verification process, full administrative access was restored to the Meta Business Portfolio.

This meant the business could once again:

• Manage their Facebook Page

• Control advertising accounts

• Manage permissions securely

• Maintain ownership of their digital assets

Most importantly, the business now has clear control over its Meta account moving forward.

A Good Reminder for Businesses

This situation highlights something many businesses overlook.

It’s important to regularly check:

• Who has admin access to your Meta Business Portfolio

• That the business owner has full control

• That there are multiple trusted administrators

Doing this can prevent a lot of headaches later.
